This Refund & Cancellation Policy explains how cancellations, refunds, website transfers, hosting, Website Care, and related services are handled by Salt & Pixel Studio (“Salt & Pixel Studio,” “we,” “us,” or “our”).
The terms that apply to your specific project may also be described in your selected package, proposal, checkout information, invoice, or service agreement. If a specific written agreement contains different terms, that agreement will control for that service.
Cancellation Requests
All cancellation requests must be submitted in writing by email to Salt & Pixel Studio.
Email: [hello@saltandpixelstudio.com](mailto:hello@saltandpixelstudio.com)
Phone calls, text messages, social media messages, and verbal requests do not count as official cancellation requests.
A cancellation is considered received when Salt & Pixel Studio receives the written email request.
Website Project Cancellations
Salt & Pixel Studio websites are custom services that require design, development, configuration, content preparation, integrations, and other project work.
If you cancel a website project before completion, you remain responsible for work already performed and any non-refundable costs incurred on your behalf.
These may include:
Website design and development already completed
Content entry or configuration already performed
Custom development or integration work
Third-party licenses, software, domains, or services purchased for the project
Other project expenses that cannot reasonably be recovered
Any refund that may be available for an incomplete project will depend on the amount paid, the work completed, and any non-refundable costs already incurred.
Completed work and services already provided are not refundable.
Website Care Cancellations
Website Care combines ongoing services that may include website hosting, maintenance, technical support, backups, security updates, WordPress updates, and plugin or theme maintenance.
Website Care plans include an initial 12-month commitment unless a different term is stated in writing.
After the initial 12-month commitment is completed, Website Care continues on a month-to-month basis until canceled.
Cancellation During the Initial 12 Months
If you cancel Website Care during the initial 12-month commitment, cancellation does not automatically convert the website into a self-managed website.
If you would like to retain the website and convert it to self-managed status, you must pay the difference between:
The original Website Care setup price you paid
The current self-managed price for the equivalent website package
Once the applicable conversion amount and any other outstanding balances are paid, arrangements can be made to transfer or convert the website to self-managed status.
Website Care payments already made are not credited toward the self-managed conversion amount.
Those payments covered Website Care services already provided, which may include hosting, maintenance, backups, security updates, technical support, and software maintenance.
Cancellation After the Initial 12 Months
After the initial 12-month commitment has been completed, Website Care becomes month-to-month.
You may cancel Website Care by submitting a written cancellation request by email.
Cancellation will take effect at the end of the current paid billing period unless otherwise agreed in writing.
Monthly Website Care fees that have already been billed are non-refundable.
Self-Managed Websites
A self-managed website is purchased separately from Website Care.
If you own a self-managed website, canceling hosting or another ongoing Salt & Pixel Studio service does not cancel your ownership or right to use the completed website.
However, you are responsible for arranging the services needed to keep the website operating after cancellation.
These may include:
Website hosting
Domain management
WordPress updates
Plugin and theme updates
Security monitoring
Backups
Technical support and troubleshooting
If your self-managed website is hosted by Salt & Pixel Studio, you must arrange alternative hosting or continued hosting before your Salt & Pixel Studio hosting service ends.
Hosting Cancellations
If Salt & Pixel Studio provides hosting for your website, hosting will generally remain available through the end of the current paid hosting period.
Before hosting ends, you are responsible for either:
Arranging continued hosting with Salt & Pixel Studio, if available
Moving the website to another hosting provider
After Salt & Pixel Studio hosting ends:
Website monitoring ends
Plugin and theme updates end
Security updates end
Technical support included with hosting or Website Care ends
Ongoing backup retention is not guaranteed
Hosting services may be suspended or terminated
Websites that remain on Salt & Pixel Studio servers after hosting has ended may eventually be removed.
Refunds
Because Salt & Pixel Studio provides custom services and ongoing technical services, payments for work or services already provided are generally non-refundable.
Non-refundable charges may include:
Completed website design or development work
Website Care already provided
Hosting periods that have already begun
Technical support or maintenance already performed
Third-party purchases or licensing fees
Non-recoverable project expenses
Monthly fees are non-refundable once billed.
Cancellation requests received after a billing period begins will remain active through the end of the current paid billing period unless otherwise agreed in writing.
If Salt & Pixel Studio determines that a refund is appropriate for services that have not yet been performed, the amount may be reduced by work already completed and non-refundable expenses already incurred.
Nothing in this policy limits any refund rights that may be required by applicable law.
Website Transfers
Clients may request a copy or transfer of their website files and database after cancellation when the client is entitled to retain the website.
Before files are released or a transfer is completed:
All outstanding balances must be paid
No unpaid invoices may remain
Any required Website Care conversion amount must be paid
Website migration or transfer assistance may require an additional fee depending on the complexity of the transfer.
Salt & Pixel Studio is not responsible for problems caused by the client’s new hosting provider after the website has been transferred.
This may include hosting configuration issues, server compatibility, performance, security, email, DNS, software compatibility, or other services controlled by the new provider.
Domain Names
If you own your domain name, the domain remains your property after cancellation.
If Salt & Pixel Studio manages a domain on your behalf, transfer arrangements may be made upon request.
Domain transfers may require:
Payment of outstanding balances
Verification of account ownership
Completion of registrar transfer requirements
Payment of any applicable registrar or transfer fees
Salt & Pixel Studio does not control third-party registrar policies, waiting periods, transfer restrictions, or fees.
Third-Party Services
Some websites rely on third-party products and services that are separate from Salt & Pixel Studio.
These may include:
Premium plugins or software
Online ordering systems
POS integrations
Reservation systems
Gift card platforms
Loyalty and rewards programs
Payment processors
Other third-party integrations
After cancellation, these services may:
Require separate billing
Require the client to establish or maintain their own account
Require transfer directly to the client
Stop functioning if the applicable subscription or license expires
Salt & Pixel Studio is not responsible for third-party pricing, service interruptions, account requirements, discontinued features, policy changes, or changes to integration availability.
Content & Backup Retention
Salt & Pixel Studio may retain website backups for a limited period after cancellation.
Backup availability is not guaranteed more than 30 days after cancellation.
Clients who need a copy of their website files or database should request them promptly.
After the retention period, website files, databases, backups, staging copies, or other project data may be permanently deleted from Salt & Pixel Studio systems.
Salt & Pixel Studio is not responsible for restoring information after the applicable backup or retention period has ended.
Outstanding Balances
Website files, website transfers, migrations, domain transfers, or other transfer assistance may be withheld until all amounts owed to Salt & Pixel Studio have been paid.
This includes:
Outstanding invoices
Unpaid hosting or service fees
Approved project charges
Applicable Website Care conversion amounts
Other amounts due under the client’s package or agreement
Reinstatement
If a canceled or suspended website needs to be restored or services restarted, additional charges may apply.
These may include:
Reactivation fees
Website restoration fees
Migration or server configuration fees
Updated hosting or Website Care pricing
Third-party license or software costs
Reinstatement depends on whether usable website files and backups are still available.
Salt & Pixel Studio does not guarantee that a canceled website can be restored after the backup retention period has ended.
Changes to This Policy
Salt & Pixel Studio may update this Refund & Cancellation Policy periodically to reflect changes to our services, pricing structure, technology, or business practices.
When this policy is updated, the “Last Updated” date at the top of this page will be revised.
Changes will apply prospectively unless otherwise agreed in writing or required by law.
